Responsibilities

  • Schedules appointments and inputs patient intake information into medical records system based upon phone inquiries, web inquires or in person events.
  • Collect payments from patients, communicate with the general manager and clinicians about scheduling/patient arrival
  • Update multiple documents or databases regarding clients, referrals and appointment information. (DMR, Patient Lost reports etc.)
  • Verify insurance benefits and/or obtain insurance authorizations with the ability to understand and communicate benefits and payment obligations to the client.
  • Utilize various office systems, computer programs and other tools to document clinic activities (phone systems, credit card systems, copiers, automated appointment requests, etc.)
  • Ensure clinic is always clean and high touch areas are sanitized.
  • Build and manage relationships with physicians, referral sources, and community partners to drive patient volume and strengthen brand awareness.
  • Develop and execute targeted marketing and outreach plans across physician offices, community events, and internal initiatives.
  • Track and analyze referral performance (DMR), manage leads, and optimize strategies based on data-driven insights.
  • Maintain consistent communication and follow-up with providers while effectively managing time, routes, and outreach activities in a fast-paced environment.

Skills & Qualifications

  • High school diploma or equivalent
  • 1-2 years customer services experience, competent phone skills and strong ability to greet and carry on conversations with patients
  • 1-2 years sales and marketing experience
  • Dependable, great communicator, detail-oriented
  • Positive attitude, good work ethic, integrity and empathy and compassion
  • Must be a self-starter and fast learner, to learn new office & clinical equipment, software, and processes/tools within the clinic
  • Highly organized and able to multi-task, ability to manage multiple schedules and make the best use of intermittent down times.
  • Proficiency with Microsoft office & Canva products, ability to quickly learn and take initiative to increase skills where needed
