Responsibilities

  • Document all company notes, reports and summaries
  • Ensure smooth and timely patient flow 
  • Assign and supervise the Physical Therapy Assistant’s patient care activities
  • Assign and supervise the Rehab Technician’s non-patient activities
  • Determine necessary PT based on prescriptions/referrals/patient condition/records
  • After reviewing patient records, strategize, create and carry out treatment plans
  • Track and report treatment progress; adjust as necessary 
  • Keep timely documentation including but not limited to daily notes, weekly reports, initial evaluations, discharge summaries
  • Assure patients are treated promptly in accordance with their scheduled appointments
  • Delegate appropriate patient care activities to the PTA in accordance with skill level and deemed appropriate by the State Practice Act
  • Evaluate and record effects of treatment at various stages and adjust treatments to achieve maximum benefit
  • Plan and conduct lectures and training programs on physical therapy and related topics for medical staff, students and community groups
  • Analyze and organize the clinic’s operations/procedures including information management, filing systems, requisition of supplies, and maintaining and periodically reviewing compliance.

Skills & Qualifications

  • Master of Physical Therapy Degree (MPT) or Doctor of Physical Therapy Degree (DPT) from an accredited PT school
  • Current state licensing and all other state-required documentation

This role is ideal for someone with medical front office experience who enjoys helping patients, staying organized, and keeping a busy clinic running smoothly. As the primary point of contact for our patients, you’ll greet patients, schedule appointments, verify insurance benefits, coordinate referrals and authorizations, answer phones, collect patient payments, and support our clinical team.

Medical office experience is strongly preferred. Experience with insurance verification, prior authorizations, EMRs (especially Prompt), outpatient physical therapy, orthopedic, chiropractic, or specialty medical practices is highly desirable.

We’re looking for someone who enjoys learning new systems, improving processes, and helping build an outstanding patient experience as our clinic continues to grow.

Responsibilities

• Serve as the primary point of contact for patients, physicians, and referral sources while providing exceptional customer service.
• Schedule evaluations, follow-up visits, re-evaluations, and maintain clinician schedules to maximize clinic efficiency.
• Verify insurance eligibility, benefits, and authorization requirements prior to patient visits.
• Register new patients, maintain accurate patient records, and manage documentation within the clinic’s EMR.

• Coordinate referrals, authorizations, and physician communications to support timely patient care.
• Receive, organize, and distribute Explanation of Benefits (EOBs) and other insurance documentation while communicating with the billing company as needed.

• Create, maintain, and continuously improve documented workflows, checklists, and standard operating procedures to ensure clinic knowledge is shared and not dependent on any one individual.
• Develop and update training materials and process documentation as workflows evolve, supporting consistent operations and future onboarding.
• Participate in cross-training and help onboard future team members by maintaining clear, accurate documentation of clinic processes.
