Responsibilities

Bilingual (English & Spanish) required

Manage patient scheduling, appointments, and a multi-line phone system

Collect and maintain new patient information; track all referrals

Serve as a liaison between patients and physicians, ensuring clear communication and timely information sharing

Send reports to doctors and maintain accurate logs of all correspondence

Verify insurance coverage, track visit limits, and process copayments and other payments

Handle incoming and outgoing mail; distribute appropriately and forward Explanation of Benefits (EOBs) to the billing company

Send benefits paperwork to billing companies and ensure proper documentation

Coordinate evaluations, re-evaluations, reminders, and cancellations

Respond to phone inquiries and assist both new and existing patients with questions or scheduling needs

Communicate effectively with the Office Manager and clinical staff regarding patient flow and scheduling updates
Skills & Qualifications

1–2 years of administrative experience in a physical therapy or healthcare setting preferred

High School Diploma or GED required

Solid understanding of health insurance processes, including pre-authorizations, insurance verification, medical terminology, and familiarity with CPT and ICD codes

Strong ability to build and maintain positive relationships with patients, staff, and providers

Team-oriented, flexible, and eager to learn in a dynamic environment

Exceptional customer service and communication skills

Proven ability to multi-task and stay organized in a fast-paced, high-demand environment

Detail-oriented with a commitment to delivering consistent, high-quality service
