Medical Receptionist/Front Desk Specialist to be the face of our new Bedford, MA clinic. Internally, we call this role our
Customer Care Specialist because it’s more than just a front desk position—it's about creating a seamless, welcoming experience for every patient who walks through our doors.

In this role, you won’t just be scheduling appointments—you’ll be an integral part of a team helping patients regain their mobility and independence. You'll be the first and last point of contact for our clients, ensuring smooth clinic operations while learning and using our electronic medical records (EMR) software, coordinating with insurance providers, and working with our billing partners.

Responsibilities
- Create a welcoming first and last impression by greeting and discharging patients warmly while ensuring smooth check-in and check-out experiences.
- Manage patient scheduling with precision—coordinate appointments, follow-ups, and reschedules while keeping track of cancellations and ensuring timely return visits.
- Own the patient intake process by gathering and tracking new patient information, referrals, and insurance details to keep things running seamlessly.
- Be the go-to patient liaison—answer questions, provide clear explanations of benefits, and communicate with physicians and physical therapists to support patient care.
- Handle payments and insurance with accuracy, including collecting copays, verifying eligibility and benefits, and working with the billing firm to ensure claims are processed smoothly.
- Keep the clinic running efficiently—adjust schedules as needed, track referrals, manage incoming correspondence, and maintain accurate documentation.
- Support a well-organized and professional clinic environment by ordering office and break room supplies, keeping common areas tidy, and ensuring the space is clean, welcoming, and ready for patients and staff.
- Stay detail-oriented and HIPAA-compliant while managing patient records and following company policies.
- Embrace learning and technology—develop proficiency in our electronic medical records (EMR) software and collaborate with our billing partners and insurers to support clinic operations.

Skills & Qualifications
- Personable, welcoming, and empathetic—able to make every patient feel comfortable and cared for, especially those in pain
- Strong multitasker who thrives in a fast-paced environment and enjoys juggling multiple responsibilities
- Proactive problem solver with a growth mindset—excited to learn new systems and improve processes
- Clear, timely, and engaging communicator with patients, clinicians, and insurance partners
- Highly organized and detail-oriented, ensuring smooth operations and accurate documentation
- Reliable and dependable, with a strong sense of integrity and professionalism
- Comfortable with technology, including data entry, spreadsheets, and learning new software (experience with electronic medical records (EMR) is a plus)
- Previous experience in a physical therapy or medical office is helpful, especially with insurance coordination, but not required—the right mindset and enthusiasm to learn are most important
- High school diploma or equivalent required
- Valid driver’s license and reliable transportation preferred
