FYZICAL Therapy & Balance Centers in Cumming, GA is seeking a friendly and organized Client Care Specialist (CCS) to join our team. This full-time, in-office position serves as the first point of contact for our patients and plays a vital role in ensuring smooth daily operations.

The CCS is responsible for scheduling appointments, verifying insurance, processing payments, and maintaining accurate patient records—all while delivering exceptional customer service. This role requires strong multitasking skills, attention to detail, and a caring, professional demeanor in every interaction.

This is a non-exempt hourly position ($18.50–$23.00/hour DOE) with opportunities for performance-based bonuses.

Responsibilities

  • Greet and assist patients, referral sources, and visitors in person and over the phone.

  • Schedule and confirm patient appointments using the clinic’s EMR system.

  • Gather intake information and ensure accuracy in patient records.

  • Verify insurance eligibility and obtain authorizations as required.

  • Process and post patient payments; reconcile deposits daily.

  • Track and update referral conversion and plan-of-care documentation.

  • Communicate schedule changes and cancellations to therapists promptly.

  • Maintain a clean, organized, and welcoming front office environment.

  • Support the clinic team with administrative and billing-related tasks as needed.

  • Adhere to company policies, values, and customer service standards.

Skills & Qualifications

What You’ll DO

  • Verify insurance benefits daily using payer portals and direct calls
  • Schedule therapy sessions with patients, based on Plan of Care created by clinicians.
  • Obtain and track authorizations for therapy services
  • Submit and monitor authorization requests for timely approvals
  • Provide accurate verification/authorization details to clinic staff
  • Follow up on marketing leads and convert inquiries into scheduled evaluations
  • Communicate professionally with patients and carriers

What You Bring

  • 2+ years of full-time insurance verification and authorization experience in a physician, medical specialty, hospital, or home health setting (required)
  • Strong knowledge of insurance plan terminology, billing guidelines, claims processing, and EOBs
