This is a hands-on role in a small, close-knit clinic where your work directly shapes both the patient experience and the health of the practice. You will own the schedule, the referral pipeline, and the front-end financial process — and you will see the results of your work every day. The position starts part-time with a clear path to full-time as the clinic grows, and we are looking for someone who wants to build a long-term role with us.

Responsibilities

  • Handle patient scheduling, appointments, multi-phone line
  • Gather new patient data; keep track of all patient referrals
  • Disseminate information to patients; act as a go-between for patients and physicians  
  • Send and keep a log of all reports sent to doctors
  • Collect all payments; insurance verification
  • Collect/open mail; distribute mail to proper areas/people
  • Send benefits paperwork to billing companies
  • Handle all scheduling and ensuing communication
  • Answer phones, act as a patient liaison, answer any questions from potential or current patients
  • Schedule patients; coordinate evaluations, re-evaluations, appointment reminders and cancellations
  • Confirm appointments proactively, work cancellations and no-shows back onto the calendar the same day, maintain a call list to fill open slots, and follow up with patients who drop off their plan of care
  • Collect new patient intake information; track all clinic referrals
  • Fax reports to physicians; keep a log of incoming reports
  • Verify Insurance and track insurance-covered visits; take copayments
  • Check mail; keep track of Explanation of Benefits sent from mail and fax to billing company
  • Communicate daily with the clinicians about scheduling/patient arrivals

Skills & Qualifications

  • Prior front-office experience in a physical therapy, outpatient, dental or medical practice
  • Working knowledge of insurance verification, authorizations, and copay collection
  • Comfort with billing workflows and communicating directly with a billing company
  • Persistent and proactive about follow-up — comfortable calling patients to reschedule and keep the calendar full
  • Detail-oriented and organized, able to juggle phones, scheduling, and walk-ins without losing accuracy
  • A strong communicator with a warm, professional presence — patients often arrive in pain, and how they’re greeted matters
  • Integrity, dependability, and a positive attitude
