Responsibilities
- Handle patient scheduling, appointments, multi-phone line
- Gather new patient data; keep track of all patient referrals
- Disseminate information to patients; act as a go-between for patients and physicians
- Send and keep a log of all reports sent to doctors
- Collect all payments; insurance verification
- Collect/open mail; distribute mail to proper areas/people
- Send benefits paperwork to billing companies
- Handle all scheduling and ensuing communication
- Answer phones, act as a patient liaison, answer any questions from potential or current patients
- Schedule patients; coordinate evaluations, re-evaluations, appointment reminders and cancellations
- Collect new patient intake information; track all clinic referrals
- Fax reports to physicians; keep a log of incoming reports
- Verify Insurance and track insurance-covered visits; take copayments
- Check mail; keep track of Explanation of Benefits sent from mail and fax to billing company
- Communicate with the office manager and clinicians about scheduling/patient arrival
- JOB TITLE: Clinical Care Specialist
POSITION SUMMARY:
The Clinical Care Specialist is the first and last person our patients and visitors see when visiting the clinic. The CCS is involved in all aspects of scheduling, new patient intake, co-pay collection, insurance verification, obtaining prior authorizations when needed and interfacing with the billing company. - Opening:
Unlock doors
Turn on lights,
Turn on tv,
Sonos on,
Check voicemails,
Tidy up the clinic for the day (vacuum rug, check bathrooms)
Open EMR and DMR on desktop - Daily Tasks:
Lost Patient Log
Waitlist
DMR Referrals
Calling No-shows/Cancellations for rescheduling
Authorizations and pending authorizations
Scanning documents
Medical Records
Mail doctor letters/mail patient letters for patients that cannot be reached otherwise
Run insurance CC payments that are faxed in for TPC
Collect money for copays, wellness, retail, and no-show/cx fees
Post all patient payments
Scheduling and answering phones
Checking emails and faxes
Receiving Referrals:
Add to DMR
Call patient for scheduling
Fill out paperwork, attach to order
Verify Insurance
Complete Patient Financial Responsibility form, if applicable
Once appointed, add patient into EMR
Update patient slot on the schedule
Update DMR with appt date
Scan in order and insurance benefits to the chart
Check for Authorization if applicable - Eval Arrives:
Get license and insurance cards
Have patient complete all paperwork, scan into chart, update chart info
Collect co-pays/co-insurance
Check patient in on schedule and on DMR
Notify PT of arrival
Check for Authorization if applicable - Closing:
Print next day schedule for front desk and individual PT’s and PTA’S schedules
Straighten Lobby
Inside lights off, TV off, Sonos off
Lock doors - Additional Tasks:
Keeping a list of office/janitorial supplies
Restocking retail wall, literature, and coffee station
Watering plants - WORK ENVIRONMENT
