As the first and last person our clients see when they enter and leave our cozy clinic, your role as Client Care Specialist (CCS) is central to our daily operations. The CCS communicates to current and potential clients the services and products that provide the best care possible, manages phones, email, and mail, and handles all scheduling and electronic client records. You will join a champion team that works together to help grateful patients get back to the lives they love. We are committed to changing the physical therapy industry by creating non-traditional, individualized treatment plans, and we want you along on that important journey while you grow your career with leadership who is fully invested in you. We are looking for a CCS who projects a warm, enthusiastic, and friendly demeanor while interacting with clients and colleagues, and is highly organized and motivated as a core member of our clinic team.

We may offer flexible or fixed part-time schedules to cover all of our operating hours, and can consider full-time hourly if interested.

Responsibilities

  • Handle client scheduling, cancellations, and reminders, and manage clinic schedule.
  • Check clients in when they arrive, collect client information and payments, and coordinate with our clinicians.
  • Act as a client liaison, answering questions from potential or current clients about our services, products, and events.
  • Track and process all client referrals, communicate with our clients and their healthcare and insurance providers, provide plans of care records and cost estimates, and log all interactions.
  • Collect client and insurance payments, and coordinate with billing of third-party payors.
  • Answer phones, and process mail, email, voice and text messages, reviews, and comments.
  • Open and close the clinic each day, and maintain clinic inventory.
  • Support clinic sales and marketing to attract and retain clients and help each Love Your Life.

Skills & Qualifications

  • High school diploma or equivalent
  • Strong organizational and time management skills as a detail-oriented multitasker
  • Great verbal and written communicator
  • Highly motivated and confident with a positive attitude
  • Empathetic toward people that are in pain and/or improving their strength & wellness
  • Computer fluency, including Google docs and sheets, and Microsoft Outlook and Office
  • (Optional) Assisting with marketing material (Canva, etc), internet presence (Google Business Profile, Meta, etc), and community events
  • Prior work experience delivering exemplary customer service preferred, especially in healthcare with health insurance knowledge
  • Electronic Medical Record (EMR) experience helpful
