Responsibilities

  • Handle patient scheduling, appointments, multi-phone line
  • Gather new patient data; keep track of all patient referrals
  • Disseminate information to patients; act as a go-between for patients and physicians  
  • Send and keep a log of all reports sent to doctors
  • Collect all payments; insurance verification
  • Collect/open mail; distribute mail to proper areas/people
  • Send benefits paperwork to billing companies
  • Handle all scheduling and ensuing communication
  • Answer phones, act as a patient liaison, answer any questions from potential or current patients
  • Schedule patients; coordinate evaluations, re-evaluations, appointment reminders and cancellations
  • Collect new patient intake information; track all clinic referrals
  • Fax reports to physicians; keep a log of incoming reports
  • Verify Insurance and track insurance-covered visits; take copayments
  • Check mail; keep track of Explanation of Benefits sent from mail and fax to billing company
  • Communicate with the office manager and clinicians about scheduling/patient arrival

Skills & Qualifications

  • High school diploma or equivalent
  • Valid driver’s license and reliable transportation
  • Great communicator and multitasker, detail-oriented
  • Positive attitude, good work ethic, integrity and empathetic toward people that are in pain 
  • H.S. graduate or GED certificate
  • Up-to-date DL and a dependable vehicle
  • Excellent at handling details, communicating and multitasking
  • Great demeanor, strong integrity and compassion

Responsibilities

  • Key Responsibilities
    • Greet patients with warmth and professionalism — both in person and over the phone.
    • Verify and document patient insurance benefits and eligibility before the first visit and as needed for ongoing care.
    • Schedule and confirm appointments for evaluations, follow-ups, and specialty services.
    • Handle patient scheduling, appointments, multi-phone line
    • Gather new patient data; keep track of all patient referrals
    • Disseminate information to patients; act as a go-between for patients and physicians  
    • Send and keep a log of all reports sent to doctors
    • Collect and post copays, deductibles, and account balances accurately and securely.
    • Maintain accurate and confidential patient information within the Electronic Medical Record (EMR) system.
    • Communicate effectively with physical therapists, assistants, and other staff to ensure efficient daily operations.
    • Assist with billing inquiries, claim follow-up, and coordination with insurance providers (billing knowledge a plus).
    • Handle administrative duties including scanning, faxing, filing, and responding to emails.
    • Collect/open mail; distribute mail to proper areas/people
    • Act as a patient liaison, answer any questions from potential or current patients
    • Schedule patients; coordinate evaluations, re-evaluations, appointment reminders and cancellations
    • Collect new patient intake information; track all clinic referrals
    • Contribute to maintaining a clean, organized, and patient-centered front office environment.
    • Communicate with the office manager and clinicians about scheduling/patient arrival

Skills & Qualifications

  • Required:
    • High school diploma or equivalent
    • Valid driver’s license and reliable transportation
    • Great communicator and multitasker, detail-oriented
    • Positive attitude, good work ethic, integrity and empathetic toward people that are in pain 
    • Minimum 1 year of experience in a medical office or healthcare setting (physical therapy or rehabilitation experience preferred).
    • Strong understanding of insurance verification and benefits coordination.
    • Excellent communication and organizational skills with attention to detail.
    • Proficient in EMR systems, Microsoft Office, and general computer skills.
    • Ability to multitask and manage a steady workflow in a fast-paced clinic environment.
    • Excellent at handling details, communicating and multitasking
    • Great demeanor, strong integrity and compassion
  • Preferred:
    • Experience with medical billing, insurance claims, or patient account management.
    • Prior work experience in a physical therapy or outpatient rehabilitation setting.
