Responsibilities

Reporting to the Clinic Director, the Client Care Specialist will be focused on delivering excellent customer service to clients and others by performing operational and administrative activities in a timely and professional manner, including:

  • Communicating with current and future patients and others (in person and via phone, email, text, fax), including welcoming patients (and visitors) to the clinic, scheduling appointments, answering questions, and responding to requests
  • Ensuring smooth and timely management of patient referrals and scheduling to support achievement of scheduled appointments for prompt clinical evaluation and Plan of Care visits
  • Completing the Patient Registration Process (e.g., collecting consent, clinical, insurance (financial), identification, and other in-take documents (forms); verifying insurance benefits (eligibility); obtaining applicable authorizations from insurance companies for care; communicating fees; and completing other “check in” steps)
  • Performing Revenue Cycle Management activities (e.g., payment processing (payments, co-payments, co-insurance), billing (claims), and collections)
  • Maintaining accurate and complete operational and administrative documentation
  • Expediting the resolution of any problems and complaints to maximize satisfaction with our services
  • Performing day-to-day administrative functions and general office duties, including opening and closing procedures, answering phones, word processing, printing, copying, scanning, faxing, filing, data entry, shredding, managing mail, ordering supplies, and maintaining the clinic in a manner that is clean, organized, and neat
  • Working closely with the Clinic Director and other FYZICAL colleagues and partners to ensure strong execution of business initiatives
  • Promoting the organization and its team, services, and products to current and future clients

Skills & Qualifications

  • High school diploma or GED required
  • 1+ years of previous experience in a physical therapy or other healthcare office setting preferred
  • 1+ years of sales experience preferred (familiarity with sales principles and the ability to promote clinic’s products and services)
  • Knowledge of WebPT (or other Electronic Medical Record (EMR) software applications) is preferred
  • Knowledge of medical coding and billing (insurance programs) is preferred
  • Knowledge of insurance verification (eligibility) and authorization processes is strongly preferred
  • Bilingual (Spanish) is preferred

 At FYZICAL, we believe that the best physical therapy is provided in a ONE-TO-ONE setting. Typically, our PTs see only 12 patients, on average, per day.

Responsibilities

  • Business management and operations:

    • Collaborate with ownership to develop and implement efficiency standards, therapist goals, and operational procedures to ensure acceptable financial performance.

    • Thoroughly understand Physical Therapy coding and billing processes and regularly audit visit notes to ensure adherence to industry best practices.

    • Coordinate with the front desk team to optimize workflow and actively manage the schedule throughout the day to ensure proper utilization of therapists.

    • Lead by example and ensure accountability to the clinic mission, policies, standards, and goals.

    • Supervise staff which may include Physical Therapists, Physical Therapist Assistants, and/or Technicians with patient care and related activities, in accordance with skill level and deemed appropriate by the PA State Board of Physical Therapy and other governing entities such as Medicare.

    Patient care:

    • Encourage and empower our patients to achieve their “Love Your Life®” goals!

    • Prepare and administer skilled physical therapy treatment plans in accordance with physician orders, referrals, prescriptions, current standards of care, and by assessing and interpreting evaluations, records, and test results of patients.

    • Encourage continuation of therapeutic plan by designing a home exercise regimen, recommending assistive equipment and follow-up programs that improve the patient’s overall health.

    • Ensure smooth and timely patient flow in accordance with scheduled appointment times and clinic goals.

    Compliance and administration

    • Plan, organize and oversee clinical activities of the practice including ensuring compliance with regulations of governmental and accrediting agencies, including Medicare and private insurers..

    • Maintain confidentiality of patient personal health information in accordance with HIPAA compliance.

    • Promptly and thoroughly document and maintain clinical and administrative records, including but not limited to, daily notes, weekly reports, initial evaluations, treatment progress and responses, and discharge summaries. Set an example for other therapists with strict adherence to the company’s notes policy.

    Marketing:

    • Provide care which routinely garners 5-star reviews from patients. Contribute to the clinic process and best practice to ensure patients consistently feel motivated to write reviews.

    • Meet with providers at existing and prospective referral partner practices to evangelize the unique aspects and differentiators of FYZICAL Therapy and Balance Centers.

    • Lead educational workshops and presentations for community education.

Skills & Qualifications

    • Doctor of Physical Therapy Degree (DPT) or Master of Physical Therapy Degree (MPT) from an accredited school.

    • Current Pennsylvania physical therapy license in good standing and all other state-required documentation

    • At least 3 years of experience as a Physical Therapist with experience in outpatient settings preferred

    • At least one year of experience running a clinic preferred

    • Interest in providing both orthopedic and vestibular therapy (pelvic floor is a plus, but not required)

    • Computer literacy and proficiency in CPT and ICD-10 coding procedures

    • Experience in a fast-paced outpatient clinic preferred

    • Basic business skills and a thorough understanding of the economics of running a physical therapy clinic.

    • BLS-CPR certification.

    • Must be eligible to work in the United States.

    • Excellent written and verbal communication skills, interpersonal skills, and the ability to work with a wide variety of people.
