As our Client Care Specialist, you’ll be the first point of contact for our patients and play a key role in keeping our clinic running smoothly. You’ll greet patients, schedule appointments, verify insurance benefits, coordinate referrals and authorizations, answer phones, and support our therapists in delivering outstanding care.
We’re a growing outpatient physical therapy clinic focused on helping people restore mobility, improve balance, and get back to the lives they love. Every member of our team contributes to that mission, and we’re looking for someone who is organized, compassionate, and enjoys solving problems.
Experience in a medical office is preferred. Experience with Prompt EMR, insurance verification, prior authorizations, or outpatient physical therapy is a strong plus.
Responsibilities
- Manage a multi-line phone system and serve as the primary point of contact for patients, physicians, and referral sources.
- Schedule new patient evaluations, follow-up visits, re-evaluations, cancellations, and appointment reminders while coordinating clinician schedules.
- Collect and maintain new patient intake information and track referrals from physicians and other providers.
- Verify insurance eligibility and benefits, monitor authorized visits, collect patient payments and copayments, and process insurance-related documentation.
- Prepare, transmit, and maintain logs of clinical reports and documentation sent to referring physicians.
- Receive, sort, and distribute incoming mail, including Explanation of Benefits (EOBs), and forward billing documentation to the billing company.
- Coordinate communication among patients, clinicians, and office management to ensure efficient daily clinic operations.
- Respond to patient inquiries, provide scheduling and treatment information, and serve as a patient liaison to deliver excellent customer service.
Skills & Qualifications
- High school diploma or GED required.
- Valid driver’s license and reliable transportation.
- Strong communication, interpersonal, and customer service skills.
- Excellent organizational skills with the ability to multitask and manage competing priorities.
