What You’ll Do
As our Client Care Specialist, you will create an exceptional experience for every patient from their first phone call to their final visit.
Patient Experience & Front Desk Excellence
- Welcome every patient and visitor with warmth, professionalism, and enthusiasm.
- Create a positive, memorable first impression that reflects the FYZICAL brand.
- Anticipate patient needs and deliver exceptional customer service.
- Maintain a welcoming, organized, and professional clinic environment.
Scheduling & Patient Communication
- Schedule appointments using the FYZICAL care model.
- Confirm appointments and proactively communicate with patients via phone, email, and text.
- Manage cancellations, rescheduling, and therapist notifications accurately and efficiently.
- Build strong relationships with patients through clear and compassionate communication.
Insurance & Administrative Support
- Complete patient intake and maintain accurate records in our EMR system.
- Verify insurance benefits and manage authorizations.
- Explain insurance benefits and patient financial responsibilities with confidence and professionalism.
- Assist patients with understanding treatment coverage and payment expectations.
- Support billing and insurance resolution efforts as needed.
Collaboration & Team Support
- Communicate effectively with therapists, physicians’ offices, and referral sources.
- Support clinic operations and contribute to a positive team culture.
- Stay current on company workflows, procedures, and best practices.
- Pitch in wherever needed to help patients and teammates succeed.

Preferred Experience
- 1+ year of experience in customer service, healthcare, medical office administration, hospitality, or a related field.
- Experience with scheduling software, EMR systems, Microsoft Office, SharePoint, and Excel.
- Knowledge of insurance verification and healthcare administration is a plus, but we are willing to train the right candidate.

Schedule
Monday through Friday, primarily between 8:00 AM and 5:00 PM.
Occasional evening or weekend coverage may be required based on clinic needs.
Responsibilities
- Handle patient scheduling, appointments, multi-phone line
- Gather new patient data; keep track of all patient referrals
- Disseminate information to patients; act as a go-between for patients and physicians Â
- Send and keep a log of all reports sent to doctors
- Collect all payments; insurance verification
- Collect/open mail; distribute mail to proper areas/people
- Send benefits paperwork to billing companies
- Handle all scheduling and ensuing communication
- Answer phones, act as a patient liaison, answer any questions from potential or current patients
- Schedule patients; coordinate evaluations, re-evaluations, appointment reminders and cancellations
- Collect new patient intake information; track all clinic referrals
- Fax reports to physicians; keep a log of incoming reports
- Verify Insurance and track insurance-covered visits; take copayments
- Check mail; keep track of Explanation of Benefits sent from mail and fax to billing company
- Communicate with the office manager and clinicians about scheduling/patient arrival
Skills & Qualifications
- High school diploma or equivalent
- Valid driver’s license and reliable transportation
- Great communicator and multitasker, detail-oriented
- Positive attitude, good work ethic, integrity and empathetic toward people that are in painÂ
- H.S. graduate or GED certificate
- Up-to-date DL and a dependable vehicle
- Excellent at handling details, communicating and multitasking
- Great demeanor, strong integrity and compassion
